Do You Need QuickBooks If You Use JobTread?

If you’re asking “do you need QuickBooks if you use JobTread,” you’re not alone — this is literally the most common question we get from contractors who just started using JobTread or are thinking about it.

And I get why the question comes up. JobTread does a LOT. It handles estimates, scheduling, project management, client communication, invoicing, change orders — so it FEELS like it should handle everything.

But it doesn’t do accounting. And that’s not a knock on JobTread. It’s not supposed to do accounting. It’s a project management platform. Asking JobTread to be your accounting system is like asking your electrician to also do your taxes because he’s already at the house.

Different job. Different expertise. You need both.

What JobTread Actually Does

Let’s be specific about what JobTread handles — because it does these things well:

JobTread Logo

– **Estimating** — building detailed, line-item bids for jobs

– **Project management** — tracking job progress, timelines, milestones

– **Scheduling** — coordinating crews and job phases

– **Client communication** — updates, approvals, selections

– **Invoicing** — sending invoices and tracking payments from clients

– **Change orders** — documenting scope changes and price adjustments

– **Cost tracking** — monitoring job-level costs against estimates

All of that is project management. It’s about managing the WORK.

What QuickBooks Actually Does

Now here’s what QuickBooks handles — and what NO project management platform replaces:

– **Bank reconciliation** — matching every transaction in your bank account to a record in your books. This is how you know your financial data is actually correct.

– **Financial reporting** — a real Profit & Loss statement, Balance Sheet, and Cash Flow statement that your CPA can use to file your taxes

– **Tax preparation** — organizing your financial data so your tax returns are accurate

– **Payroll** — paying employees, withholding taxes, filing quarterly payroll returns

– **1099 tracking and filing** — tracking every sub payment over $600 and filing the forms by deadline

– **Workers comp and GL audit prep** — organizing the data your insurance company needs for annual audits

– **Sales tax tracking** — if applicable in your state

That’s ACCOUNTING. It’s about managing the MONEY.

The Difference Between JobTread and QuickBooks Matters More Than You Think

Here’s an example that shows why this distinction isn’t just academic.

A plumbing contractor doing $3.2M in revenue was running everything through JobTread for about 18 months. He had estimates, invoices, payments, costs — all tracked in the platform. He assumed those numbers were his financials.

His “bookkeeper” was pulling reports out of JobTread and handing them to his CPA at tax time. The CPA filed his tax return based on those reports.

The problem? Those reports WEREN’T financial statements. They were project management reports. They tracked what was billed and what was spent on jobs. However, They did NOT include:

– Interest payments on his equipment loans

– Insurance premiums

– His own salary and payroll taxes

– Several bank accounts that weren’t connected to JobTread

– Credit card charges that never got entered into any job

– Personal expenses accidentally run through the business account

When we took over his books and reconciled his ACTUAL bank accounts, his revenue was off by $180,000 compared to what his JobTread reports showed. His expenses were off by even more.

The result? We had to do a $22,000 cleanup of 18 months of unreconciled books AND file amended tax returns for a year’s worth of incorrect filings.

All because he thought JobTread was his accounting system.

Bank Reconciliation Is the Whole Point

I cannot stress this enough. BANK RECONCILIATION is the foundation of accurate books. It means matching every single deposit and withdrawal in your bank account to a categorized transaction in your accounting system.

JobTread doesn’t do this. It’s not designed to.

When you reconcile in QuickBooks, you’re confirming that your financial records match what actually happened in your bank accounts. Every dollar in, every dollar out, categorized and accounted for.

Without bank reconciliation, your financial reports are fiction. They might be CLOSE to reality. They might even look right. But they’re not verified, and your CPA is filing your taxes based on unverified data.

That’s how contractors end up owing $15,000 in back taxes they didn’t expect.

Why We Recommend QBO Plus Specifically For JobTread Users

There are four versions of QuickBooks Online: Simple Start, Essentials, Plus, and Advanced.

For contractors using JobTread, we recommend QuickBooks Online Plus. One reason: the **Projects feature**.

QBO Plus lets you track revenue and expenses by job inside QuickBooks. So when your concrete crew does a $52,000 commercial pour, you can see all the income AND all the costs associated with that specific project right in your accounting system.

This connects to what JobTread is tracking on the project management side. JobTread tells you how the PROJECT is performing. QuickBooks tells you how that project looks in your ACTUAL BOOKS.

QBO Simple Start and Essentials don’t have the Projects feature. If you’re using one of those plans with JobTread, you’re missing the one thing that ties the two systems together conceptually.

What Happens When Contractors Skip QuickBooks

We’ve seen this enough times to give you the highlight reel:

**No bank reconciliation.** Nobody is checking whether the money going in and out of your bank account matches anything in any system. Errors compound month after month.

**No real P&L.** You might have a report that looks like a P&L from JobTread. It’s not. A real P&L comes from reconciled financial data that includes ALL business activity — not just what went through your PM software.

**Tax returns based on bad data.** Your CPA files based on whatever you give them. If you give them JobTread reports instead of reconciled QuickBooks data, the return is wrong. Maybe not by a lot. Maybe by $180,000. Either way, it’s wrong.

**No payroll compliance.** JobTread doesn’t handle payroll tax filings, quarterly 941s, year-end W-2s, or state withholding. If nobody is managing this in a separate payroll system connected to your accounting, you’re accumulating penalties.

**1099 chaos.** You paid 14 subs last year. Did you collect W-9s from all of them? Track total payments to each one? Did you file 1099s for everyone over $600? JobTread isn’t built to manage 1099 compliance. QuickBooks (with proper setup) is.

**Workers comp audit disasters.** Your insurance company wants to see every dollar you paid to uninsured subs. If those payments aren’t categorized correctly in your accounting system, they get added to YOUR payroll — and your premium spikes. One HVAC contractor we took over had a $14,000 workers comp audit surprise because sub payments weren’t tracked properly.

The Integration Is the Bridge

Here’s the good news: JobTread and QuickBooks aren’t supposed to replace each other. They’re supposed to work TOGETHER.

We offer a JobTread-to-QuickBooks integration as a $495/month add-on. It syncs data between the two platforms so you’re not double-entering invoices, payments, and expenses.

When the integration is set up correctly:

– Invoices created in JobTread sync to QuickBooks as income

– Expenses tracked in JobTread map to the right accounts in QBO

– Payments received update both systems

– You avoid duplicate entries and data entry errors

But even with the integration, someone still needs to RECONCILE your books, manage your payroll, track your 1099s, prepare your tax returns, and handle audit prep. The integration just reduces the manual work between the two systems.

The Bottom Line

JobTread is a great project management platform. If you’re a specialty trade contractor — HVAC, plumbing, electrical, concrete, fencing, pool, decks — it’s one of the best tools out there for managing your jobs.

But it is NOT your accounting system. You absolutely need QuickBooks (we recommend QBO Plus) running alongside it with someone actually reconciling your books every single month.

The contractors who figure this out early save themselves thousands in cleanup costs, penalty notices, and amended returns. The ones who wait 18 months to learn this lesson? They pay for it.

If you’re using JobTread and you’re not sure your accounting side is set up right — or if you don’t HAVE an accounting side yet — book a call at levelaccountingfirm.com. We’ll tell you exactly where you stand and what it would take to get your books right.
